Your Role
Gensler's Accounting Department is currently seeking an experienced Accounts Payable Coordinator with a successful track record. In this position, you will collaborate with our Accounts Payable Team to accomplish the following responsibilities:
What You Will Do
Timecard maintenance, including monitoring missing timecards and manual timecard entry
Manage approval and filing of weekly studio labor reports
Conduct training for New Hires on timecard process
Process a high volume of accounts payable transactions
Accurately code and enter Supplier invoices into accounting systems
Process Client Refund Payments
Ensure timely payment of vendors in accordance with company policies
Resolve invoice discrepancies and handle vendor inquiries
Prepare weekly payment
Prepare wires and rush payments
Reconcile corporate credit card accounts
Review and process employee expense report requests per policy compliance, and appropriate GL coding
Review and prepare approved month end journal entries
Manage multiple deadlines
Complete month-end tasks in adherence to fiscal deadlines
Research and resolve various issues that may arise in the processing cycle
Periodic review of all open payables and outstanding checks
Assist in set-up of new vendor accounts and profiles
Adhere to the Company's file retention protocols
Respond to audit requests
Ad hoc projects as requested
Your Qualifications
3-5 years of general Accounts Payables experience
Associate, College Degreeand/or coursework in Finance/Accounting/Economics
Highly organized, detail oriented with a high level of accuracy
Proactive and able to work effectively in a team environment
Able to work well under pressure with multiple tasks and deadlines
Deltek Vision and Coupa experience a plus
Proficient in data entry with strong Excel skills
Excellent written and verbal communication skills
Able to respond to vendors, consultants, and staff with professionalism
