Position description:

The Seattle Aquarium, a leading marine conservation organization, is looking for an Event Production Associate to join the Events team. The Event Production Associate plays a crucial role in furthering the mission of the Seattle Aquarium - "Inspiring Conservation of our Marine Environment." This dynamic position oversees a diverse range of events, encompassing in-person promotional events, virtual broadcasts, video productions, and evening rental events. By seamlessly blending event and production support, the Event Production Associate ensures the success of all Aquarium events while maintaining the highest standards of customer service and conservation awareness.

Key functions:

  • Collaborate with the Event Production Manager and key stakeholders to plan and execute in-person promotional events, virtual broadcasts, and video projects, including detailed event preparation, purchase of supplies, and event fulfillment and breakdown activities.
  • Act as the primary liaison between the Aquarium, event partners, clients, vendors, and internal departments to ensure seamless coordination of event needs.
  • Oversee evening rental events as a lead representative, including volunteers, security, maintenance, guest services, and other stakeholders as needed to ensure a safe and enjoyable experience.
  • Provide support for audio-visual needs, collaborating with the Aquarium's AV team and managing in-house rental equipment.
  • Train, lead, and coordinate volunteers and staff during events, fostering a positive and collaborative team environment.
  • Collaborate with the volunteer department to schedule and retain evening event volunteers.
  • Ensure a safe event by monitoring guest behavior and protecting animals and habitats.
  • Interpret and present information on specific animals, one-on-one or in group settings, in various aquarium exhibits and during feedings, using microphones or other means.
  • Act as a first responder for emergency issues that may arise during events.
  • Conduct post-event evaluations, address issues promptly, and report outstanding matters.
  • Utilize computer tools and programs, including Microsoft Office Suite, to manage complex calendars, timelines, and event data.
  • Assist with event material production and procurement, including timelines, event plots, presentations, signs, and equipment.
  • Stay informed of changes and pertinent information regarding exhibits and animals.
  • Lead and/or sit on committees and other groups as assigned.

  • Perform other duties as assigned.

Required skills and experience:
We will consider various combinations of relevant experience and education to meet minimum requirements.

  • Hospitality degree or certification is helpful but optional with relevant event experience.
  • Minimum of two years of experience in event production and execution, preferably in cultural or tourist attractions, stage management, or festival production.
  • Ability to work independently, manage stress, and communicate effectively with colleagues, guests, and vendors.
  • Strong organizational skills, self-motivation, and the ability to manage concurrent timelines.
  • CPR, first aid, and AED certifications preferred.
  • Experience with audio-visual equipment and live stream production is a plus.
  • Proficiency in a second language is advantageous.

Working conditions:

  • Lifting up to 30 pounds and pushing/pulling up to 50 pounds weekly.
  • Ability to move around the campus. Standing and sitting for extended periods.
  • Ability to stand; walk; sit; use hands to finger, handle, or feel objects, tools, or controls; reach with hands and arms; climb stairs; balance; stoop, kneel, crouch, or crawl; talk or hear.
  • Specific vision abilities required by the job include close vision, distance vision, peripheral vision, depth perception, and the ability to adjust focus.
  • Work in environments with moderate to loud noise levels.
  • Occasional extended exposure to outside weather conditions.
  • Flexibility to work long, irregular hours, including evenings, weekends, and holidays.

Salary and benefits: $26.50-$28.00, Dependent on experience, with an additional $1.00 or $2.00/hour shift differential for nighttime hours, depending on schedule.
